Automation in practice: return on investment in less than 3 months

Gym automation is often associated with reducing the role of reception staff and replacing personal customer service with technology. At Infinity Fitness in Kraków, the result was exactly the opposite.
After implementing GYMMANAGER together with automated access control, the team gained more time for members, while the investment paid for itself in less than three months.
What did this change look like in practice?
For Ula Kuśnierz, owner of Infinity Fitness, the reception desk has always been one of the most important areas of the club.
“I have always believed that reception is the most important point in the club. It’s where you create the atmosphere, learn about your members’ needs and help them choose the right programme or classes.”

The problem was that a significant amount of the team’s time was taken up by everyday administrative tasks – managing access, verifying members and preparing reports. During peak hours, this left less time for conversations and personal interaction with members. Automation helped change that.
Today, many repetitive processes are handled automatically, allowing the team to focus on what truly affects the member experience – providing advice, talking to members and building relationships.

The biggest barrier turned out to be… the perceived cost
The idea of introducing automation at Infinity Fitness first came up several years earlier. The inspiration came from a hotel where most processes were handled automatically.
“That was when I first started wondering how similar solutions could work in our industry.”
However, the first conversations with technology providers were not encouraging. The proposed solutions involved high costs, complex implementation and a long return on investment. From the club’s perspective, the investment simply did not seem worthwhile at the time.
Over the following years, the situation began to change. Employment costs continued to rise, finding staff became increasingly difficult, and expenses related to rent, energy and facility maintenance also increased.
That was when it became clear that modern automation could be much more accessible than initially expected.
The investment paid for itself in less than three months
After implementing GYMMANAGER, the initial concerns about costs were quickly replaced by tangible results.
“In the end, automation turned out to be an investment that paid for itself in less than three months.”
The savings were not limited to staffing costs. Another major benefit was the ability to keep the club accessible at times when having an employee on site would previously have been necessary.
This includes public holidays, days off and hours outside the reception desk’s standard opening times.
“Previously, if members wanted to use the club during a public holiday, we had to arrange for someone to come in, open the facility and staff the reception desk. Today, we no longer have that problem. Members can use our services when they want, while we can respect our team’s time and the time we want to spend with our families.”
Automation has therefore made it possible to combine greater accessibility for members with a better working environment for the team.

A system that grows with the club
Implementing the technology is only the beginning. For Infinity Fitness, it was equally important that the system remained easy to use on a daily basis and could evolve alongside the club’s needs.
“GYMMANAGER is extremely intuitive. Whenever we suggest an improvement or a new feature, changes are implemented very quickly.”
By bringing different areas of club operations together in one system, the team does not have to manage multiple separate tools.
Access control, online sales, the mobile app and integrations with sports benefit providers create one connected ecosystem that supports both staff and members throughout their entire experience with the club.

Automation doesn’t replace people. It gives them more time for members
Infinity Fitness shows that automation does not have to mean giving up personal customer service. In fact, it can create more room for it.
Technology takes care of repetitive processes that previously consumed employees’ time. As a result, the reception team can focus on conversations, providing advice and building stronger relationships with members.
The club benefits from greater accessibility and more efficient operations. The team has fewer repetitive tasks to manage. And members can use the facility when it suits them.
At Infinity Fitness, this change also delivered a clear business result: the investment in automation paid for itself in less than three months.
